Terms and Conditions

We urge you to read the following outline of our terms and conditions as we want to make your trip with us as enjoyable as possible and part of that is making sure you have no unpleasant surprises if your situation changes or a trip is cancelled or amended. You will receive a written copy of our terms and conditions when we confirm your booking.

Payment & deposits: You are required to pay a deposit of $300. Acceptance of your booking will be confirmed by us in writing to your nominated email address. Full payment is due not less than 56 days prior to your tour start date. When bookings are made less than 56 days before the tour start date full payment must be made when booking.

Information about you: When booking your tour we need your: Full name and title as per passport; Date of birth; Nationality; Passport number; place of issue and expiry date; Travel insurance policy number, insurer and period of coverage; Any pre-existing medical conditions you have that may affect your ability to complete your tour. We will not confirm your booking until we have received all of the above information.

Cancellation by us: Our trips are guaranteed to depart once we have five fully paid participants. We may cancel a trip at any time up to 30 days before the tour start date. If we cancel a trip because we do not have the minimum number of participants we will happily refund all the money you have paid to us including the processing fee. We are not responsible for any other expenses that you may have incurred as a result of your booking including flights or other travel costs, visas, vaccinations or medical costs, etc. If in our sole opinion it is not safe or viable to operate the planned itinerary due to political instability, natural disasters or other external events including terrorism, we may cancel a trip at any time prior to departure. If we cancel a trip under these circumstances we will refund all the money you have paid including the processing fee.

Security: Spiritual Quest Adventures meets the requirements of the Package Travel, Package Holidays and Package Tours Regulations 1992 by ensuring all monies paid by customers are held in a trust account.

Tour alterations: Should it be necessary to make changes or alterations to your holiday after we have received your deposit and your booking has been confirmed we will do our best to help. If it is possible to make the changes they will incur expenses to be paid by you in the form of an administration fee of $85 per person plus any extra charges incurred by us or any other supplier involved.

Dates & Itineraries: Tour departure dates and commencing city locations and ending dates and finalization city locations are valid as shown. Please bear in mind the nature of this type of travel requires considerable flexibility and you should allow for alternatives. We will do our utmost to follow the tour itinerary as planned, however should local circumstances and conditions warrant it, changes to the route, schedule, itineraries, amenities and mode of transport may be subject to change without prior notice. Should be need to alter the itinerary prior to the commencement of a tour we will notify you as soon as possible and provide the relevant details as soon as practically possible. We anticipate any changes would be minor and infrequent and you acknowledge this does not provide grounds for cancellations or refunds.

Responsibility: We will do our best to ensure you are safe and well on our tours. Please bear in mind the tours you are taking with us will visit places where there are cultural and political differences from what you normally experience and may involve a degree of personal risk. On top of us doing our best to ensure your safe passage it is also your responsibility to familiarize yourself with relevant travel information in relation to your tour itinerary. You acknowledge that your decision to travel is made by you alone and you accept that you assume all personal risk in relation to your travel while with us. We do not therefore accept responsibility for death, injury or illness of our customers on our tours. On any loss or damage resulting from war or terrorist activities, weather conditions, fire, flood or drought, airport closures, rescheduling of means of transport, or any other eventuality which may delay or extend the tour. The trip will be run by the group leader with the assistance of a local guide as applicable. The group leader’s decision is final on all matters likely to affect the safety or well-being of any person taking part on the tour.

Health: It is your responsibility to ensure that vaccination certificates and other health documents are in order and that all appropriate health and safety precautions have been observed by you. It is also your responsibility to get any recommended vaccinations for the relevant tour locations. We request that you inform us of any existing medical conditions that may impact your ability to take part in or fully enjoy any tours booked through us.

Transport: We will not be responsible for you missing any flights due to late check-ins or other forms of transportation and no refunds will be given.

Compulsory travel insurance: Travel insurance is compulsory for all tours. You will be asked to provide details (name of insurer & policy number) prior to confirmation of your place on the trip. We urge you to obtain insurance at the time of making your initial booking with us.

Surcharges: If there are unfavourable changes in currency exchange rates, increases in transportation costs, taxes or fees a price increase may be made in these limited circumstances. If the price increase amounts to less than 2% of the original cost of the package, we will absorb the cost. However, if it is greater than 2% we will absorb the first 2% and pass the extra surcharges onto you. We reserve the right to impose additional costs up to 30 days prior to tour start date. If we choose to pass on to you any such additional costs and they result in an increase of more than 10% of total tour price you may cancel the booking within 14 days of notification of the surcharge and obtain a full refund. We will not pass on additional costs for any booking which has been paid in full.

Tour cost includes: All accommodation, transport sightseeing, meals, group leader, local guides and fees for retreats as specified in the tour itinerary.

Tour cost excludes: Personal expenses; visa, airport and passport fees; travel insurance; international & domestic flights; train fares; airport transfers, taxes and excess baggage unless specified; meals other than those specified; optional activities and sightseeing; personal service tips & gratuities.

Passport & visa requirements: You are responsible for ensuring you have the correct visa and travel documents for the tour you book. If you are unsure please get in touch and we can guide you in the right direction. We are not responsible in any way if you are refused entry to a country because you lack the correct travel documentation.

Optional activities: Any optional activities which are not listed in the tour itinerary do not form part of the trip or the booking conditions. You accept we are not liable in any way in relation to optional activities that may be arranged by or with assistance provided by the group leader or local guide.

Privacy of personal information: Spiritual Quest Adventures is governed by the UK Data Protection Act 1998 and will use your personal information only for the purpose of the tour. We may disclose it to our service providers, agents and other suppliers to enable us to run the tour. Otherwise we will keep your information private and confidential and delete it as soon as we no longer require it.

Complaints: We will do our utmost to ensure you have an enjoyable tour. If however you have any problems please contact us immediately and we will do our best to resolve them. Any complaints should be notified to us as soon as reasonably practical and in any event notified to us in writing within 28 days of the end of your tour. While every care has been taken to ensure the information on this page is correct, all information is subject to alteration without notice. We accept no liability for any inaccuracy in the information provided.
