Terms and Conditions
Reservations and Payments: A deposit of $500.00 per person ($525 via PayPal) along with a completed and signed application must be submitted with the reservation to confirm the trip. Registration and Final payment for all tours is due 70 days prior to departure. For registrations submitted 70 days or less prior to departure, space will be on request and is subject to availability of hotels and full payment will be required upon registration. Payments made with certified check or money order mailed Priority or Overnight Delivery, or credit card. An early registration assures you of your place on the tour. Therefore, we highly recommend that you submit your registration deposit as early as possible.
Cancellations and Refunds: All payments are non-refundable, and BMSJ highly recommends trip interruption/trip cancellation insurance. See Insurance Protection Plan below.
Credit card payment: RMC accepts American Express, MasterCard, Visa and Discover via PayPal.
Tour Pricing: RMC offers a 5% discount on the published Tour Price if ALL payments are made by check or money order. This discount will be listed as a credit on your final statement. Quoted prices are based on the Tour origination locations indicated the tour itinerary page and registration form. BMSJ will always be happy to assist you with any flight arrangements. The advertised cost for each tour is based on an established minimum level of participation. Should the group for any tour fall below this number, each traveler may be assessed a surcharge dependent upon the number of persons traveling (usually between US $100 and US $300 per person). We make every effort to keep the surcharge as small as possible. If assessed a surcharge, you will be notified of the amount at least two weeks before the departure date. Payment is due upon notification. Or, in the event that we do not have the minimum number of participants we reserve the right to: (a) add a 10% small group surcharge or, (b) cancel the tour. In either case, you will be notified as soon as possible. In the event of a tour cancellation, you will receive a full refund or you may transfer to another trip.
Required Tour Documents: A valid passport must be held by each passenger. Applicable visas or visa information for countries other than the United States or Canada will be provided as required. In countries where an entrance visa is required and BMSJ is procuring that visa, the cost of the visa will be assessed to the passenger. Otherwise the passenger will be given information about how to obtain the visa at their own expense.
Revisions and/or Changes to basic tour, pre or post-tour individual arrangements booked for passenger by BMSJ: On basic tour, here will be no charge for an initial revision. There will be a charge of $30 for each additional revision. This charge is over and above any charges imposed by airlines, hotels and/or ground operators. For pre/post arrangements, there will be a $100 nonrefundable deposit per person to initiate the itinerary. If the itinerary is accepted by the passenger, this will be applied toward the final cost. No research will be done until the deposit has been received. Once accepted, there will be a charge of $20 for each additional email, phone call or fax to change the itinerary. This charge is over and above any charges imposed by airlines, hotels and/or ground operators.
Accommodations: Based on twin-bedded rooms (or cabins if the tour contains a cruise) with bath or shower as indicated. You are assigned accommodations as the guest of the facility selected. The tour operator reserves the right to substitute hotels of similar category.
Single Supplements: The single supplement is for those who would like to secure a private room throughout the tour, at the indicated additional price. If you are not traveling with anyone you know and would like to share a room, please indicate your preference for a roommate on the Registration Form. We will be happy to work to find you a suitable roommate. Registration for the tour will be held open until two weeks before the departure date in order to try to match everyone with a roommate. If by that date we have not been able to match you with a suitable roommate, you will be responsible to pay for the single supplement. An early registration will facilitate this process.
Meals: Meals will be provided as per the final trip itinerary. Any foods or beverages not included in the program and purchased by you will be at additional cost. Tour price includes only foods and beverages that are provided to the entire group.
Sight-seeing: As specified in itinerary. Entrance fees are included. Note: In some cases, to maximize sites to be visited, BMSJ will combine your tour group with a standard sightseeing tour. This is done on rare occasions so as to enhance the tour program.
Land transportation: As specified, by modern air-conditioned (where required) cars and/or minivans.
Air: All airline tickets are subject to each carrier’s Terms and Conditions as to passage and cancellation fees. Tours are sold in conjunction with the services of these approved carriers.
Fuel Surcharges (where Air is included in the program): With oil prices approaching record levels, airlines are beginning to charge fuel surcharges. Any fuel surcharges imposed by the carriers we use, after tours have been priced, will need to be passed on to the passenger. You will be advised of the surcharge by invoice; payment is due upon notification, and must be received in our NY office 14 days before the tour departure date in order for your final tour documents to be mailed out in a timely manner. If the payment arrives later and necessitates that BMSJ mail your documents with expedited service, you will be responsible to pay for these costs.
Tour costs and what they include are listed on the itinerary for each tour. Unless indicated otherwise on the tour itinerary, the tour fee includes: accommodations in double occupancy, meals as indicated (any foods or beverages not included in the program and purchased by you will be at additional cost. Tour price includes only foods and beverages that are provided to the entire group), all transportation during the tour, sightseeing as specified in the itinerary, entrance fees for parks and other areas, and services of a tour leader. The tour operator reserves the right to substitute hotels of similar category. Tour costs are based on group rates and no refunds will be given for unused services.
Items not Included in our costs: Visa and passport charges; Departure taxes; Gratuities (some tours require gratuities be pre-paid)
Extra meals not included in itinerary; Items of a personal nature (ie laundry, drinks, telephone calls, personal clothing); Emergency evacuation; Personal travel insurance; and any item that is not specified as being included.
Local Hosts and guides: Listed local Hosts and guides are subject to availability and will be hosting your itinerary wherever possible. However, due to scheduling, there may be some times when the featured local Host or guide is not available. If this occurs, BMSJ will provide a comparable and experienced substitute.
Tour Dates, delays and route changes: Since schedules are determined up to a year-and-a-half in advance, changes in dates may have to be made. It is also possible that route changes, delays or postponements may become necessary. This could happen due to inclement weather, political restrictions or any other cause. In this event, you will have no right to a refund and Sacred Earth Journeys and it’s suppliers will have no obligation in respect to such changes , except as follows; If the land content of a tour is delayed, we will arrange, at no additional expense to you, accommodation for you for the duration of the delay. If the scheduled place of departure, of the land content of the tour, is changed, we will arrange, at your expense, substitute means of transportation from the original point of departure to the rescheduled point of departure. If the scheduled duration of the land content of the tour is shortened more than 24 hours, we will make a refund based on the number of complete days the trip was shortened. Body Mind Spirit Journeys and it’s suppliers reserves the right to cancel any tour prior to departure, in which case any payment you have made to Body Mind Spirit Journeys will be refunded in full. You will not be entitled to make any further claims for compensation or damages, for any loss, consequential damage, expenses, loss of time or inconvenience which may result from such cancellation
All services described herein are organized in cooperation with Sacred Earth Journeys, the tour operators for this Body Mind Spirit Journeys’ tour and/or it’s suppliers. Notice is hereby given that all arrangements made on behalf of customers are made by the organizers on the sole condition that the organizers shall not be held responsible for any injury, death, accident, delay, loss, damage, or irregularity which may be occasioned through acts of any company and/or persons engaged in carrying out arrangements and services described herein or otherwise in connection herewith.
The information contained in this site is correct to the best of the organizer’s knowledge, but the organizer accepts no liability for any inaccuracies therein.
The organizers reserve the right to alter any itinerary or service at any time without penalty to the organizer. Any additional expense or cancellation costs shall be borne by the customer.
The organizers reserve the right to withdraw or refuse any service to any customer at the discretion of the organizers. Payment of deposit is taken as acknowledgment of and agreement to the above items.
Not Included: Items of a personal nature such as laundry, drinks and telephone calls, as well as any item that is not specifically detailed in the brochure or final trip itinerary.
Consumer Disclosure Notice: BMSJ and/or their agents act only in capacity as agents for the passenger in all matters connected with hotel accommodations, sight-seeing tours and transportation, whether by air, rail, bus, motorcar, boat or any other means and as agent holds itself free of responsibility for any damage occasioned by any cause. BMSJ and or its agents will not be responsible for any damages, expenses or inconveniences caused by late departures or change of schedule, strikes or to their conditions, nor will be responsible for loss or damage to baggage or any of the passenger’s belongings. All prices quoted are correct at time of brochure printing, include the cost of operation of the tours, and are subject to currency and airfare changes. BMSJ, its parent corporation and affiliates, officers, employees, servants and agents shall not be responsible for personal injury, death or property damage as a result of force majeure or for any other losses or damages incurred by any person or tour participants caused by any delay or change of itinerary or arising out of any act, including, but not limited to, any act of negligence, any person acting for or on behalf of BMSJ for transportation, accommodation or sight-seeing provider or any other person or entity rendering any of these services or accommodations being offered in connection with these tours. Any dispute arising out of these tours, must be submitted in writing within 30 days of the completion of the tour and will be settled by arbitration within the City of New York. Insurance Protection Plan: We strongly recommend TRAVEL INSURANCE to protect against cancellation fees and additional travel expenses that may incur before, after or during the trip. With your reservation confirmation, BMSJ will send complete details on its insurance program.
